Procurement Assistant Refrigeration Services

The Procurement Assistant for the Refrigeration Services Team will support the Procurement Director in sourcing and purchasing equipment, materials, and services essential for the operation and maintenance of refrigeration systems at Kalos Services. This role requires strong organizational skills, attention to detail, and the ability to communicate effectively with suppliers and internal leadership.

 

Responsibilities

  • Support the identification, evaluation, and maintenance of relationships with suppliers and vendors.
  • Obtain and review supplier quotes to ensure cost-effective purchasing.
  • Coordinate with suppliers to ensure timely delivery of materials and equipment.
  • Prepare and process purchase orders and requisitions in line with company policies and procedures.
  • Monitor and manage inventory levels to ensure the availability of necessary materials for ongoing projects.
  • Assist in negotiating prices and terms with suppliers to secure the best deals.
  • Maintain accurate records of purchases, pricing, and other relevant data.
  • Generate and analyze reports on purchasing activities and budget performance.
  • Ensure adherence to all applicable regulations and company policies.
  • Work closely with the Refrigeration Services team to understand project requirements and timelines.
  • Communicate with internal stakeholders about order statuses, delivery schedules, and any arising issues.
  • Support cross-functional initiatives aimed at improving the procurement process.
  • Assist in inspecting received goods to verify they meet quality standards and specifications.
  • Coordinate with the Quality Assurance team to address any issues with delivered materials.

 

Requirements

  • High school diploma or equivalent is preferred.
  • Previous experience in procurement, purchasing, or a related field, in the HVAC or refrigeration industry.
  • Strong organizational and time-management skills, vendor management, and supplier evaluation techniques.
  • Strong communication and negotiation abilities to drive cost saving initiatives.
  • Proficiency in Microsoft Office Suite and procurement software (e.g., Enterprise Resource Planning systems (ERP).
  • Attention to detail and a strong sense of accountability.
  • Ability to work independently and as part of a team.
